Reason for Policy
Define appropriate access to Colgate University residence halls by IT staff when their job duties necessitate such access.
Policy Statement
Colgate University IT staff (including student worker IT staff while acting in this role) shall not access Colgate University residence halls outside of their professional capacity when their job duties necessitate such access. Sometimes IT staff job duties will necessitate such access (accessing classrooms, printers, smart TVs, etc. within residential halls are just a few examples). When such access is needed by IT staff only specific IT staff who are authorized to enter residence halls in this capacity shall do so and a list of such personnel shall be maintained by ITS. This list also detail any conditions for such access, examples might include:
- Is the ITS individual allowed to access the residential halls by themselves or is a second person from ITS required to accompany them?
- At what days and times is the ITS individual allowed to access the halls?
- Is reporting of when halls are accessed required?
- Is the ITS individual allowed to have card and/or code access to the halls?
Scope
This policy applies to all ITS staff (including student worker IT staff while acting in this role) and covers all access to Colgate University residence halls.
