Frequently Asked Questions

General Questions

What are the office hours?
Regular hours are Monday through Friday from 8:00 a.m. to noon and 1:00 to 4:30 p.m. Summer hours are Monday through Friday from 8:00 a.m. to noon and 1:00 to 4:00 p.m.
How do I obtain an official copy of my transcript?
Please visit the transcript request page for information about ordering transcripts.
Can I get an unofficial copy of my transcript?
Unofficial copies of transcripts are only available to currently matriculated students. Students may present their Colgate ID at the registrar's office to request an unofficial transcript, or requests may be faxed or mailed. In the case of faxed or mailed requests, the information required is the same as that required for official transcripts (see above). In addition, current students have access to their unofficial transcripts through Banner Self-Service. Once a student has graduated from or left Colgate, a transcript can only be obtained in official format.
How can I obtain a copy of my diploma?

How can I change my address?
Current students who are on campus should come to the registrar's office to complete a "Change of Address" form. Once the address has been changed in the database, all offices on campus will have access to the information.

Current students who are not physically on campus may request a change of address by telephone (315-228-7676) or by e-mail (registrar@colgate.edu). Former students may change their address or other contact information by e-mailing the alumni office (alumnirecords@colgate.edu) or by calling 315-228-7453.
How can I request verification of enrollment?
Verification of Enrollment letters are often required for insurance companies, scholarship applications, and student visas. The registrar's office will provide verification of enrollment for students who are registered for classes at Colgate for a current or subsequent semester. Students may come to the office in person to fill out a request form, or the request can be made over the telephone (315-228-7408) or by fax (315-228-7125). Where can I find the dates for....?
Calendars have been approved for the next several semesters. These may be found at the calendars and schedules page and include dates for breaks, course registration, Commencement, etc.
When are my final examinations?
The examination schedule is published on the registrar's web page during the first month of a given semester and may be found at the exam schedule page.

Transfer Credit Questions for Current Students

How do I go about taking courses at another college or university?
You must obtain an academic leave of absence if you plan to take courses at another institution during a fall or spring semester. Please visit the Office of Off-Campus Study web page for more information or call 315-228-7216. A leave of absence is not required for students wishing to take summer or intersession courses.

All courses require pre-approval by the registrar's office and in some cases, specific departments. Students are required to complete the transfer of credit application and in the case of summer or intersession courses the Requirements for Transfer of Summer/Intersession Courses. These forms are also available in the registrar's office. Course descriptions, and in some cases course syllabi, must also be submitted.

What kind of courses may I transfer toward my Colgate degree?
Courses that are pre-approved by the registrar's office, taken at a regionally accredited university or college, and that fall within the scope of a liberal arts education may be transferred for credit toward your degree. We do not accept courses such as marketing, journalism, or business, for example. There are additional requirements for summer courses (please see requirements for transfer of summer/intersession courses above).
How do I receive transfer credit after I've completed the course?
Upon completion of the course, you must request an official copy of your transcript to be sent directly to Colgate registrar's office. Once we have confirmed that the grade earned is a "C" or higher and that the appropriate approvals were obtained, credit will be recorded on your Colgate transcript. Grades for courses taken elsewhere are not recorded on the Colgate transcript and are therefore not included in the calculation of your GPA. Current students have access to their transcript online and may check it periodically to see when the transfer credit is recorded.

Transfer Credit Questions for Prospective Students

Does Colgate award credit for Advanced Placement exams?
Colgate awards credit for scores of 4 or 5 on many of the Advanced Placement examinations. In addition, a limited number of departments award credit for a score of 3 on certain exams. A list of acceptable scores and exams is available at the Advanced Placement Credit Summary page.
Does Colgate award credit for college-level courses that I've taken while in high school?
Colgate will consider awarding credit for actual college courses that fit within the scope of a liberal arts curriculum and in which students have earned a grade of "C" or higher. High school cooperative programs where courses are offered in the high school or in which participants are all high school students will not be considered. Please refer to the transfer of pre-matriculation credit guidelines. Students will be required to submit a transfer of pre-matriculation credit application as well as applicable course descriptions and, in some cases, full syllabi. Departmental approval must be obtained in many cases. An official transcript from the college must also be forwarded to the Colgate Office of Admission.

How will I register for courses?
Each student is required to seek registration advising from their academic adviser. During the advising session, the adviser will provide each student with a registration PIN that is required to register for classes online. For detailed instructions about registering for courses online (via Banner Self-Service), please visit the Banner self-service information and instructions page.
What if I am on a Colgate study group during registration?
Students who are on a Colgate study group will seek advising and receive their PIN from the study group director. All pertinent information, with the exception of the PIN, can be found online at the registration information page. Students may register themselves online but should note that time differences can make Internet access a challenge. The registrar's office staff will register students who are off campus for the semester if the information is either submitted online or faxed (315-228-7125) prior to the day that registration begins. Check your Colgate e-mail account approximately two weeks prior to registration for more detailed information.
What if I am studying off campus through a non-Colgate program?
Students who are participating in non-Colgate programs may also register for classes online. Registration information (including PINs) will be e-mailed to the student's Colgate e-mail address and it is the responsibility of the student to obtain that information. All of the information, with the exception of the PIN, can also be obtained online at the registration information page. Students may register themselves online but should note that time differences could make Internet access a challenge. The registrar's office staff will register students who are off campus for the semester if the information is either submitted online or faxed (315-228-7125) prior to the day that registration begins. Check your Colgate e-mail account approximately two weeks prior to registration for more detailed information.
